QuickBooks

WinchWorks exports your invoices in a form QuickBooks can read. Find both under Settings → Integrations.

Export one billing company at a time. If you invoice under more than one company, each has its own books, and each exports separately.

QuickBooks Desktop

Download the IIF file and import it in QuickBooks under File → Utilities → Import → IIF Files.

Each invoice comes across as a balanced transaction. Any income account the file needs that does not exist yet is created on import, so you do not have to set up a chart of accounts to match WinchWorks first.

QuickBooks Online

Download the CSV and use QuickBooks Online's invoice import.

QuickBooks Online will ask you to match the columns the first time. Once matched, later imports go straight through.

What is left out

Imported history is excluded from both exports.

If you brought old invoices in from another system, those are already in your accounts. Exporting them again would count the same revenue twice. WinchWorks leaves them out so a first export after switching does not restate years of income.

Superseded and voided invoices are also left out. Only the current version of an invoice is exported.

How often

There is no schedule. Export when you are ready to post — most shops do it monthly, some weekly.

Exporting the same period twice will produce duplicates in QuickBooks, because the export does not know what you have already imported. Keep a note of what you have posted.

Live sync

A direct connection to QuickBooks Online — where invoices and payments push across as you go, with no file to download — is built and currently in review with Intuit.

It is not available yet. When it is, you will connect your own QuickBooks account from Settings, and this page will explain how.

Until then the file exports above are the way, and they work for every account today.

Sales tax

WinchWorks exports the tax on each invoice as its own line, calculated from the rate set on your billing company.

How that tax should be recorded, and against which accounts, depends on your business and your state. That is a question for your bookkeeper — WinchWorks gives you the numbers, not advice on where they belong.
