Recording pickup and release
When a vehicle leaves, record the pickup. It stops the storage clock and marks the job ready to invoice.
Open the job and choose Record pickup.
What you record
The date. This is the last day of storage — and it counts. It cannot be earlier than the received date.
Who collected it. Usually the tow driver's name, or the shop they came from. Worth filling in: if there is a question later about who took the vehicle, this is the record.
Notes, if anything about the collection is worth remembering.
A signature, captured on screen. The person collecting signs with a finger on a phone or tablet, or a mouse on a desktop.
If you do not want to collect signatures, turn them off in Settings. Pickups are still recorded, just without the signature pad.
The order of things
Most shops invoice at pickup and are paid on the spot, usually by the driver collecting the vehicle.
That means the useful sequence is:
- Record the pickup — this fixes the final storage day count
- Finalize the job into an invoice
- Hand or send the invoice
Do not send the invoice before the vehicle is collected. Until it leaves, storage is still counting, so any invoice you send is provisional. If the pickup date moves, you have to revise it and make sure the new version reaches whoever has the old one.
Finalizing early is fine — you may want the paperwork ready. Sending early is what causes trouble.
Correcting a pickup date
If you recorded the wrong date, open Edit details on the job and change the picked-up date.
Clearing the date reopens the job and storage starts counting again from where it left off. Setting a date closes it and stops the clock.
Self-pay
When the vehicle's owner is paying, most shops collect before releasing the vehicle. WinchWorks does not enforce this — record the pickup and the payment in whichever order matches what actually happened.
After pickup
The job shows a Picked up date instead of the pickup button, and the storage line stops growing.
If a job you expected to invoice has no pickup button, check whether it is already marked picked up. That is usually the answer.
